Booking Policy

Service is determined as any reservation, booking, confirmation, and/or expected work to be performed by Wolfmates, its employees, contractors or sub-contractors as agreed by the Clients and Partners at the time of booking confirmation. This includes all scheduled services and agreed-upon work, irrespective of any subsequent changes or modifications, unless otherwise mutually agreed upon in writing by both parties.

The Service is for individuals seeking to obtain certain services (“Client”), businesses seeking to partner with Wolfmates to offer services (“Partner”), and any independent third-party contractors seeking to provide such services (“Wolfmates Provider”).

Wolfmates provides non‑medical concierge and home‑management services for older adults and their families. By booking our services, you acknowledge and agree to the terms below.

Plans & Payment

We accept private payments via cash, check, major credit and debit cards, ACH bank transfer, Venmo, PayPal and Cash App. All payments must be made in U.S. dollars.

  • A $500 non‑refundable deposit is due at the time of booking. This deposit is applied toward your total service fee and cannot be transferred to another client or service. The remaining balance must be paid in full before services begin; invoices are payable immediately upon receipt. If payment of the balance is not received within 24 hours of invoice, Wolfmates reserves the right to assess a late payment fee of $50 per day, subject to applicable law and regulations in your jurisdiction. Services will not begin until the balance or payment for the full 14‑day program has been paid.

  • We stand behind our work: if you are not satisfied by Day 5 and notify us in writing by the end of Day 5 that you’re unsatisfied, we will refund the cost of any unused days. If you do not notify us by Day 5, you acknowledge that the full fee is earned and no refund will be issued.

Service Area and Client Responsibilities

Wolfmates’ services are available only in the locations we have approved and agreed to serve. All additional costs associated with services (e.g., fees charged by third‑party vendors for gardening, private caregivers, transportation or travel arrangements) are the sole responsibility of the client. We will coordinate these services on your behalf, but payment for the vendor’s fees, tickets, airfare, lodging, etc., must be provided by you directly or reimbursed to us upon invoicing.

Changes & Cancellations

Cancellations must follow the guidelines outlined in our Cancellation Policy as well as the guidelines outlined in our Booking Policy.

  • A non‑refundable $500 deposit is due when you book. Services cannot begin until the balance is paid in full.

  • You may reschedule your start date once at no charge if you give at least 72 hours’ notice and your scheduled start date is at least seven days after the date of booking.

  • Cancellations are not permitted. The only refund available is the satisfaction guarantee: if you notify us in writing by the end of Day 5 that you are unsatisfied, we will refund the unused portion of your 14‑day service. If you do not notify us by Day 5, the full fee is considered earned and no refund will be issued.

  • Any additional rescheduling, or any rescheduling request made within seven days of the start date, will incur a $200 rescheduling fee to ensure availability for other clients.

Safety

Wolfmates reserves the right to decline or withdraw from any service engagement we deem unsafe, hazardous or inappropriate. In such cases, we will notify you immediately and refund any unused portion of prepaid fees.

Policy Changes

Wolfmates reserves the right to modify this booking policy at any time. Our published rates reflect current pricing and are subject to change. Clients with active bookings will be notified of any changes that affect their services or fees. All payments are due in U.S. dollars and must be made via our approved payment methods.

Force Majeure / Unforeseen Circumstances

We may cancel or reschedule services due to events beyond our control (such as severe weather, natural disasters, power outages or government restrictions). In such cases, we will attempt to reschedule the service or, if we cannot, we will refund any unused portion of prepaid fees.

Non‑Medical Disclaimer

Wolfmates provides lifestyle management and concierge services only. We do not provide medical care or any services that require a healthcare license. Clients requiring assistance with activities of daily living (ADLs), medical care or nursing should engage a licensed provider separately.
